This Privacy Policy explains how CapPlan, Inc. (“CapPlan,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you visit our website or use our manufacturing capacity-planning platform (collectively, the “Service”).
We designed CapPlan for manufacturers, and we treat your production data as your business. We do not sell your personal information, and we never use one customer's data to benefit another. By using the Service, you agree to the practices described here.
2. Information We Collect
We collect the following categories of information:
- Account information — name, work email, company name, role, and authentication credentials you provide when you create an account.
- Production data — the operational data you enter or import, such as work orders, part numbers, cycle and setup times, department configurations, operator counts, schedules, and completed-job history.
- Billing information — plan selection and payment details, which are processed by our third-party payment processor (we do not store full card numbers).
- Usage data — log data, device and browser information, IP address, and interactions with the Service, collected to keep the platform secure and reliable.
- Communications — messages you send to support, sales, or via forms.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, maintain, and improve the Service;
- Generate schedules, capacity insights, analytics, and AI duration predictions for your account;
- Authenticate users, enforce role-based access, and secure the platform;
- Process billing and manage subscriptions and free trials;
- Respond to support requests and send service-related communications;
- Detect, investigate, and prevent fraud, abuse, and security incidents; and
- Comply with legal obligations and enforce our agreements.
4. AI & Machine Learning
CapPlan's predictive features learn exclusively from your own historical job data to forecast durations and surface insights for your shop. Your production data is never used to train models for other customers, and it is not shared with third-party AI providers for the purpose of training their models.
AI predictions are decision-support tools and may be inaccurate; you remain responsible for your production decisions.
6. Data Retention
We retain your information for as long as your account is active and as needed to provide the Service. After account termination, we delete or anonymize your production data within a commercially reasonable period, except where retention is required for legal, accounting, or security purposes. 7. Data Security
We encrypt data in transit (TLS 1.3) and at rest (AES-256), isolate customer database environments, and apply role-based access controls. No method of transmission or storage is 100% secure, but we maintain administrative, technical, and physical safeguards designed to protect your information. Learn more on our Security page.
8. Your Rights & Choices
Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at info@capplan.ai.
If you are in the EEA/UK, our legal bases for processing include performance of a contract, legitimate interests, consent, and legal compliance. If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them. We do not sell or share personal information as those terms are defined under California law.
9. International Data Transfers
CapPlan is operated from the United States, and your information may be processed in the U.S. or other countries where we or our service providers operate. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.
11. Children's Privacy
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted on this page with an updated “Last updated” date and, where appropriate, communicated to you directly. Your continued use of the Service after changes take effect constitutes acceptance.
